A lending app’s marketing head in Bengaluru has a shortlist of three brand agencies. Two are ten minutes from her office. One works from Gurugram. Her compliance lead sits in Mumbai, her product team is split across two floors, and her founder travels most weeks. When she asks herself whether the Gurugram agency can do the job from another city, she is asking the wrong question. Her own team is already remote. What she needs to know is whether the agency can get a brand through RBI’s rules on the first review.

Does a fintech brand agency need to be in the same city?
No. Distance changes how meetings happen. It does not change what the work is. A fintech brand project is a chain of decisions: positioning, name, identity, product screens, launch creative. Each decision is made in a review, and most reviews already happen on video because the fintech’s own people are spread out.
| Project stage | How it runs across cities | When meeting in person helps |
|---|---|---|
| Discovery and positioning | Stakeholder interviews on video, a shared brief everyone edits | A kickoff workshop with the founder and leadership in one room |
| Naming and identity | Concept reviews on video, feedback on a shared board | Rarely; screens and files travel better than printouts |
| Product and app screens | Working sessions with product and design teams on shared files | Only if the team wants a joint sprint |
| Compliance review | Compliance joins scheduled reviews and comments on the same files | Almost never; compliance reads the file, not the room |
| Guidelines and handover | A recorded walkthrough plus a live session for questions | Optional |

Which rules matter more than the agency’s location?
India’s financial regulators set national rules. A loan screen designed in Gurugram for a Bengaluru lender answers to the same RBI requirement as one designed next door. That is why the useful test for any agency is whether it can show the regulator-driven decisions in its work.
- Loan brands design around the Key Facts Statement. RBI requires lenders to give borrowers a Key Facts Statement, including the annual percentage rate, before the loan contract is executed, for retail and MSME term loans sanctioned from 1 October 2024. RBI has since consolidated many earlier circulars into Master Directions, so check the current text before the screen is built. Our design decision: the loan journey puts the Key Facts Statement screen before the agreement screen, and the annual percentage rate is the largest number on it, never smaller than the monthly instalment.
- Mutual fund brands lock the warning end frame first. SEBI requires the mutual fund standard warning to be displayed and voiced for five seconds in audio-visual ads. Our design decision: every fund film is storyboarded with its last five seconds reserved for the warning before the script is written, so the edit never has to squeeze it in.
- Insurance brands carry the insurer’s registered name. IRDAI’s current policyholder protection regulations require an insurer’s advertisement to show its registered name with its trade name or logo prominently. Ads issued through a distribution channel need the insurer’s written approval first. Our design decision: a fixed lockup that pairs the logo with the registered name, and an extra approval round in the calendar whenever a distributor runs the creative.
None of these decisions depends on where the agency sits. All of them depend on the agency knowing the rule before the first frame is drawn.
A fintech brand answers to national regulators, so the agency’s city matters far less than its grasp of the rulebook.
How does a remote fintech branding project run week to week?
A remote project works when the rhythm is fixed early and every stakeholder knows which review they attend. This is the pattern we use when the client sits outside the National Capital Region.
- Kickoff with the decision makers. A workshop with the founder, marketing and compliance. We travel for it when the client wants a room; otherwise it runs on video with a shared board.
- A standing weekly review. Same day, same time, same people. Work is shared before the call so the call is for decisions, not first impressions.
- Compliance in the loop from concept one. The compliance lead sees early concepts, not only final artwork, so a disclaimer or lockup problem is caught while it is cheap to fix.
- One source of truth for files. Every version lives in one shared place, named by date and round, so Mumbai and Bengaluru are never reviewing different drafts.
- A recorded handover. Brand guidelines come with a walkthrough the in-house team can replay when new hires join.

What should a Mumbai or Bengaluru fintech ask a Gurugram agency before signing?
Ask for evidence of process, not proximity. These questions separate an agency that works well remotely from one that only says it does.
- Show us one regulator-driven design decision. A disclaimer placement, a lockup rule or a screen sequence, and the rule behind it.
- Who from your side attends our reviews? The people who present the work should be the people who made it.
- How do you handle an approval round with a third party? Insurers, fund houses and partner banks add rounds, and the timeline should show them.
- When would you travel to us? A clear answer beats a vague promise of being available.
Listen for specifics in the answers. A named rule, a named reviewer and a dated visit are signs of a working process. General reassurance about being flexible or always reachable is not. If an agency cannot answer these four questions on the first call, the distance between your offices is the smallest of its problems.

Common mistakes when a fintech hires an agency in another city
Remote brand projects rarely go wrong because of the map. They go wrong because of habits that would hurt a local project too, and distance simply makes them easier to miss. These are the mistakes we see most often when a Mumbai or Bengaluru fintech hires an agency elsewhere, including a Gurugram agency like ours.
- Choosing on proximity and skipping the rulebook test. An agency ten minutes away that has never placed a Key Facts Statement screen is further from your goal than one in another city that has. Ask the rule question first and the location question second.
- Showing compliance only the final artwork. When the compliance lead in Mumbai sees the work at the end, a disclaimer or lockup change can send the identity back a full round. Invite compliance to the first concept review.
- Running reviews without a fixed rhythm. Ad hoc calls mean the wrong people see the wrong draft. A standing weekly slot with the same attendees keeps decisions moving across cities.
- Letting files split across tools and inboxes. If the Bengaluru product team comments on one version and the Mumbai compliance lead on another, the next round starts from a conflict. Keep one shared location and one naming rule.
- Leaving third-party approvals out of the plan. Insurers, fund houses and partner banks each add a review. A timeline that ignores them looks faster on paper and slips in practice.
- Treating travel as a favour. If an in-person workshop matters to your founder, write it into the proposal with dates, not as a promise to visit when needed.
Every item on this list is about process. None of them is fixed by hiring an agency in the same postcode, and all of them can be fixed in the first week of a remote project.
How to brief a Gurugram agency from Mumbai or Bengaluru
A clear brief removes most of the risk people put down to distance. Before the first call, write the points below on one page and share it with every stakeholder in both cities, so the agency hears one version of the job.
- The business decision the brand must support. One sentence: a launch, a new product line, or a rebrand after a change in licence or ownership.
- The regulators behind each product. RBI for lending and payments, SEBI for mutual funds and broking, IRDAI for insurance. Name the person in your team who reads the current rules, and confirm the current text with your compliance team before screens are built.
- Everyone who must approve. List each approver with city and role, including any partner bank, insurer or fund house outside your company.
- The review rhythm you can keep. Which day, which people, and how many working days compliance needs to read a round.
- The in-person moments you want. A kickoff workshop or a launch review, with dates, so travel is planned rather than improvised.
- What already exists. Current guidelines, live app screens and any disclaimers or lockups compliance has already approved.
Send the same page to every agency on your shortlist, local or not. The questions each one sends back will tell you more about its grasp of the rulebook than its address will. A Gurugram agency that asks which disclaimers are already approved is thinking about your compliance lead. One that asks only about colours is not.
A worked example: a Bengaluru lender and a Gurugram agency
The example below is illustrative. It is built from the process on this page, not from a client project, and it shows sequence rather than a promised timeline.
Take the marketing head from the opening. Her lending app needs a refreshed identity and a new loan journey before a festive-season push. Compliance sits in Mumbai, product in Bengaluru, and her preferred agency works from Gurugram.
- Kickoff. A video workshop with the founder, marketing and compliance. The Mumbai compliance lead answers one question up front: which current RBI requirements apply to this loan journey? That answer becomes the first page of the brief.
- Concept rounds. Positioning and identity routes are shared a day before each weekly review. Compliance comments on the same board as product, so a lockup or disclaimer concern surfaces in the first round.
- Loan screens. The journey is drawn with the Key Facts Statement screen before the agreement screen and the annual percentage rate as the largest number on it. Product and compliance sign off the sequence before any visual polish.
- Launch creative. If a partner bank or a co-branded insurer is involved, its approval round goes into the calendar now, not after the artwork is final.
- Handover. Guidelines arrive with a recorded walkthrough, so new hires in Mumbai and Bengaluru learn the system the same way.
Nothing in that sequence needs the agency to sit in Bengaluru. Every step needs it to know which rules shape the screens and to bring the compliance lead in from the start, on video or in a room.

Is it harder to brand a regulated fintech remotely?
Not if compliance is part of the review rhythm from the first concept. RBI, SEBI and IRDAI rules apply the same way in every Indian city, so what matters is that the agency designs around them early. Most delays come from late compliance review, not from distance.
Will a Gurugram agency travel to Mumbai or Bengaluru?
Ask for it in the proposal. Strategy workshops benefit from a day in the same room, and we travel for those. The day-to-day work runs on video calls and shared files.
Does the agency’s city affect which regulations apply to the brand?
No. The regulators that govern a fintech’s advertising and product screens are national bodies, and their rules follow the product, not the agency’s address. A lender’s loan journey must meet RBI’s rules whether the designers sit in Gurugram or Bengaluru.
Should a fintech pick a local agency or a specialist in another city?
Pick on evidence of regulated work first. A local agency is easier to visit, but a fintech brand is judged by RBI, SEBI or IRDAI rules that apply across India. If the specialist can show regulator-driven design decisions and a clear remote process, and the local option cannot, the specialist is the lower-risk choice. If both can, proximity becomes a reasonable tie-breaker.
How often should a remote agency meet the fintech team in person?
There is no fixed number. Most teams find one in-person workshop at the start is worth it, because positioning debates move faster in a room. After that, a standing weekly video review with shared files covers most decisions. Put any further visits, such as a launch review, into the proposal with dates.
How do you keep compliance involved when the team is spread across cities?
Give the compliance lead a fixed seat in the weekly review and access to the same shared files as product and marketing. Share each round a day early so there is time to read it. Ask compliance to flag rule concerns on the concept, not the final artwork, and record each decision in the file so every city works from the same version.
Does working with a Gurugram agency slow down a Mumbai or Bengaluru launch?
Distance rarely sets the pace of a brand project. Approval rounds do: internal compliance, partner banks, insurers and fund houses. A Gurugram agency that plans those rounds from the first week and works to a fixed review rhythm can keep pace with a local one. Ask any agency to show where approvals sit in its timeline.
